Question: What do I need to do to get ready for my email conversion?
 
Answer: There are several things you need to do before your email conversion:
 
  • Activate your O-Key account if you haven’t already.
  • Know your O-Key username, email address, and password. If you can’t remember your username or password, call the IT Helpdesk for assistance at (405) 744-HELP (4357).
  • Clean house – go through your mailbox and delete any messages that you don’t need or want to keep.
  • If you use a Palm Pilot, Blackberry, or other PDA, locate it and the software with which it was packaged. Keep both handy for your conversion appointment.
  • Make note of any mail-in databases or resource reservation databases you maintain. Give this information to your departmental computer support.
  • The latest Microsoft email client for Windows machines is Outlook 2003, and the corresponding email client for Macs is Entourage 2004. Each of these is available via the Software Distribution Center under the appropriate Microsoft Office suite.
  • If you have any personal email folders you have named ‘Notes’, ‘Contacts’, or ‘Tasks’, you will need to rename these to something else before your mail is converted.
  • If you have any Local Address Book mailing lists with a large number of entries (ex: more than 100), you will need to split them into smaller lists since Outlook email lists have size limitations.
  • Lotus Notes stationery will not transfer to Outlook or Entourage. However, you will find many stationery options from which to choose after you have converted to Outlook/Entourage.
  • Lotus Notes To-do entries don't convert to Outlook or Entourage. However, you will be able to recreate your To-Do's as Tasks in Outlook/Entourage after you've converted.
