Question: What is the recommended method for converting Lotus Notes mail-in databases to Exchange?

Answer: IT recommends the use of Exchange Service Accounts as the most stable and predictable replacement for Lotus Notes mail-in databases. Early in the conversion process, IT replaced many mail-in databases with Public Folders, but we have since determined that Service Accounts are preferred over Public Folders for the following reasons:

- Service Accounts are very secure, and cannot be inadvertently deleted by their owners.
- Public Folders are considered to be high-risk since they can be easily deleted by anyone with Owner access to manage folder permissions in the account.
- Email messages sent from a Service Account are saved in the ‘Sent’ folder of the Service Account, and not in the ‘Sent’ folder of the individual who sent the message (as is the case with Public Folders).
- Email messages sent from a Service Account always show the Service Account name in the ‘From:’ field, rather than the sender’s name.
- Service Accounts can utilize email archives, whereas Public Folders cannot.
- Outlook Junk mail filters don’t apply to email received in a Public Folder.
