Question: What should I expect when my email is being converted to Exchange?
|

Answer: Email conversion differs from one area to another, due to the variety of options from which a department might choose. Listed below are some common items that are likely to occur:

- A computer professional may visit you before your scheduled conversion to make sure that your mailbox and calendar are ready for the move to Exchange.
- Your mail file is usually converted to Exchange the night before your scheduled conversion appointment.
- All email messages, calendar entries, and local address book entries from Lotus Notes will be copied into your new Exchange mailbox. (See FAQ #8)
- All email messages and calendar entries in your Lotus Notes mailbox at the time of your conversion will remain in Lotus Notes for approximately one week.
During that time, you will be able to open and read the pre-conversion email and calendar entries from Lotus Notes. If you would like to have a copy of your Notes mail file on CD,
please contact the IT Helpdesk within one week of your email conversion.
- All new email sent to your former email address (ex: userid@okstate.edu or userid@notes.okstate.edu) will automatically forward to your new
Exchange mailbox indefinitely.
- Until a computer professional is able to setup the email client on your machine, you can access your new Exchange email and calendar
on the internet using Outlook Web Access (OWA) at http://mail.okstate.edu
- At the time of your desk-side conversion appointment, a computer professional will setup the email client on your computer and configure your personal email and calendar settings.
- For security purposes, it is strongly recommended that you are present during your conversion appointment. (See FAQ #3) Depending upon the complexity
of your workstation setup, it usually takes 30-90 minutes to complete the conversion.
- You may have a follow-up visit for configuring shared calendar settings, email archives, mail-in databases, etc.
